Reception Manager

Job Summary:

 To provide a supervisory management function to the Reception Department, providing a point of contact and to act as a focal point of communication between patients, Doctors and other medical staff

 To lead the Reception team, ensuring an efficient and professional manner is maintained and to act as a role model, demonstrating and promoting the standards expected by the practice and creating the energy and enthusiasm for the service.

 To be a point of contact for the public to deal with any queries and non-clinical complaints.

 Job Responsibilities:

 Manage/Supervise the Reception team and act as a role model to all staff, support, motivate and promote good staff relations.  Cover the reception role, when necessary.  Recruit and select Reception staff and ensure all new Reception staff undertake an induction course. Ensure new staff have job descriptions, and are aware of the disciplinary and grievance procedure and evacuation procedure. Ensuring new staff undertake a three monthly probation review and six monthly if appropriate.

 Prepare the weekly Reception rota, and monthly Doctors rota. Monitor annual leave, study leave and professional leave for reception staff, nurses and doctors. Log all sickness leave and undertake the return to work interviews notifying the practice manager of any anomalies.  Ensure contingency plans are in place for cover if there is unforeseen annual leave / sickness of staff.  Extend the appointment books weekly and foresee & deal with problems arising. Reporting on Extended Hours appointments, manage the call system and checking in machine.

 Undertake annual staff appraisals and ensure all staff understand their roles within the procedure.  Assess training needs within the department with a view to putting together individual Personal Development Plans for Receptionists. Ensure all practice Protocols are understood, kept current and adhered to. Adhere to the disciplinary procedure set out to address/document any performance, behaviour or productivity issues that may arise.

 Attend meetings as necessary, including the weekly Partners meeting, and the monthly Heads of Department Meeting, report any Significant/Learning Events.  Balance the petty cash book weekly and monthly reconciliations for the Practice Manager.  Provide room allocations for Doctors, Nurses and other clinical & non-clinical staff.

 Other weekly responsibilities include testing the Fire Alarm, waiting room notices and general tidiness/cleanliness. Filling the doctors Prescriptions trays. Arranging appointments and specific clinic times for external visitors.

 Other monthly responsibilities include testing the running water temperatures of the sinks, ordering patient plastic & polystyrene cups, changing the answer-phone message system when necessary and placing notices in advance of Protected Learning Training Days.

Situated in a desirable semi-rural location in Kent, our practice is both a dispensing and training facility with additional services such as Minor Surgery, Vasectomies and Gynaecology Clinics. Our team is committed to delivering high-quality, patient-centred care, and you will play a crucial role in providing exceptional nursing care and supporting the health and well-being of our patients. We take pride in our professional and caring approach to supporting our patients and the local community.

We are seeking a dedicated, passionate, skilled, and motivated individual to lead and support our well-established, friendly, and caring nursing team, which includes three registered nurses and three HCAs. The ideal candidate should have experience in general practice and a strong background in leading nursing teams whom may also possess the necessary qualifications for managing chronic health conditions such as Asthma, COPD, and Diabetes, as well as expertise in cervical cytology, childhood immunisations, and treatment room duties. This role requires a well-presented individual with a calm, methodical approach to work, the ability to interact empathetically and professionally with the public, and a working knowledge of EMIS Web would be advantageous, though not essential, as full training will be provided.

Key responsibilities of the Lead Practice Nurse include:

·         Overseeing the day-to-day management of the nursing team

·         Providing guidance and support to nurses/HCAs

·         Training and coaching the nursing team

·         Managing patient assessments

·         Infection control

·         Conducting clinical consultations

·         Mentoring students

Days and hours are negotiable but must include Friday. Salary will be negotiable based on experience.
